Case study: Vienna’s Mozart Year 2006


Design and creation of the website with project database linkage to facilitate administration of the individual projects

As part of Vienna’s Mozart Year 2006 a huge number of events took place on 7,000 separate occasions, approaching the theme of Mozart in a variety of different ways. Over the course of a whole year symposia, exhibitions, concerts, opera and theatre productions and special events were staged at more than 370 locations all over Vienna.


Tasks:

To ensure that the organization ran smoothly a tool was required in both the preparatory phase and the implementation of the various individual events that illustrates the internal workflow simply and independently of a platform, allows access to all the information relevant to the project and supports various publications both on the web and in print. Both internal and external personnel were to have (defined) access of the type that is best provided by a web-based database. The aim was to maintain an overall view of the individual projects and the projects as a whole that could be updated quickly and easily in order to avoid unnecessary work such as entering the same data several times.


Solutions:

checkpointmedia designed and created a web-based project database using the XML framework JART that provides a comprehensive solution to the many and varied requirements of Vienna’s Mozart Year 2006. Every project represents a set of data that can be shown and filtered according to a number of different categories such as Title, Performing Agent(s), Processing Status (accepted/rejected, contract concluded etc.), Type of Cooperation. The selection criteria in the categories can be administered and edited by the customer himself. In addition, an overview of the financial status of each project is given as are extracts in German and English that are intended for publication on the official website http://www.wienmozart2006.at/  
and the printed almanac. Log entries can be made for every project containing all the important developments and information relating to the event.


In addition more than 3,000 contacts and around 370 event locations are included in a specially created module to be used for coordination purposes. A calendar function makes it possible to see a table of which events or types of events are taking place during the year and when they start at the touch of a button, thereby providing speedy and simple assistance when compiling a programme that includes around 7,000 times and dates.


An access management system makes it possible to grant different access rights to internal and external personnel if desired.
